Protecting your data: RCNi’s privacy statement

Protecting your privacy is very important to us. So that you can feel in control of your personal information, we want to be clear with you about the information we collect and how it is used.

RCNi is a wholly owned subsidiary of the Royal College of Nursing (RCN). We produce information, products, services and events to support the whole nursing community.

The privacy of individuals whose data we collect is important to RCNi. We align our processes with UK General Data Protection Regulation (GDPR) laws, the Privacy and Electronic Communications (EC Directive) Regulations 2003 and the Data Protection Act (2018). All RCNi staff are required to undertake training in data protection regulations. In addition, RCNi adheres to Association of British Pharmaceutical Industry Guidance Notes on UK Data Protection in Post-Marketing Pharmacovigilance and the Advertising Standards Authority’s UK Code of Non-broadcast Advertising and Direct & Promotional Marketing (CAP Code).

How we collect information and why

We collect and process relevant personal information, including names, contact details, job details and – in some cases - bank details, to enable us to deliver nursing-related content, digital tools and services, online and live events; to promote our events, products and services; to promote occasional messages from relevant third-party organisations; and to support and manage our employees.

The sources we collect information from are the platforms that host our products and portals people use for registering or subscribing for them.

We also process non-identifiable information from website activity and clicks on digital ads and emails for analytics. This helps us to find out what information is important to you so that we can improve our services.

What we do with your information

RCNi may share information with other RCN Group companies, and any essential subcontractors, agents, or service providers who work for us to produce the event, service or product individuals are signing up for.

Some individuals who have signed up for specific RCN Group services may be contacted about relevant opportunities or information based on legitimate interest. With informed consent only, we may email individuals on behalf of selected third parties. Individuals have the option of opting out of all but essential communications at any time.

Personal data collected by RCNi will never be transferred to or stored in countries outside the European Economic Area (EEA).

Personal data will never be shared with non-essential third parties without your consent. If you do consent to your information being passed to non-essential third parties, we will ensure you are fully informed about who your details are being shared with, which details are being shared and what the third party intends to do with your information.

RCNi stores and transfers all data securely.

How long we keep your information

We only keep your information for as long as you have a relationship with us and where there is a legitimate reason to do so.

  • Event and RCNi Nursing Jobs registrants: two years from event
  • Content subscribers: lifetime of live subscription
  • Individuals who have opted-in to third-party communications: three years from consent date

RCNi is not obligated to keep a Record of Processing Activities (ROPA) because it is an organisation of fewer than 250 employees, the processing we carry out is unlikely to result in a risk to the rights and freedoms of our data subjects, and the processing is occasional (GDPR Article 30).
